The Third Party Portfolio table is the primary place to manage third parties, request data, view third party shares, and view request and share status across the portfolio. It consists of two tabs, a Requests/Shares tab and a Relationships tab.

Terminology
| Request | A customer has asked a third party from their portfolio for data. |
| Share | A third party has proactively provided data to a customer from their portfolio. |
| Assessment | A type of request or share that provides access to assessment data for the specified framework. Optionally includes access to metrics. |
| Document | A type of request or share that provides access to all documents a third party has available. Access is only provided for 28 days from request/share approval. |
| Validation | A type of request or share that provides access to validation data for all frameworks that the customer can access |
| Pending | A status indicating the request or share has been created but it has not yet been Approved or Denied. |
| Approved | A status indicating that the company which received the request or share has approved access, but there are still outstanding actions required for the request or share contents to be available. |
| Denied | A status indicating that the company which received the request or share has denied access. It will remain in this state unless the company which received the request or share approves it. |
| Delivered | A status indicating that the request or share was previously approved, and its contents are now available to the customer. |
| Canceled | A status indicating that the request or share was terminated prior to the delivery of its contents. Please note that canceled requests and shares are not displayed in the portfolio. |
| Revoked | A status indicating that access to the request or share was removed after the delivery of its contents to a customer. Customers that previously had access to its contents will no longer be able to access it. |
| Archived | A status indicating that the request or share was previously delivered, and since then a new request or share has been created of the same type. Customers still have access to the previously delivered data. |
Requests/Shares Tab
The Requests/Shares tab on the Third Party Portfolio provides a list of all the requests and shares (excluding those with a status of canceled) for the customer across all third parties in their portfolio. Customers can request data from third parties, authorize third party shares, and see the status of all requests and shares.
Quick Filters/Aggregate Chips
Select one or more chips at the top of the portfolio for easy filtering. To clear the filters, simply click on the 'X'. Ex: To easily see all outstanding requests, select ‘Outstanding’ and ‘Requests’.

Outstanding - Requests and shares in a Pending or Approved Status (Still require authorization or actions on the request to be completed)

Completed – Requests and shares in a Delivered or Archived Status (The customer currently has access to the data in these requests)
- Requests - Request types (assessment request, validation request, document request)
- Shares - Share types (assessment share, validation share, document share)

Assessment Request

Only one open (Pending, Approved, or Denied) assessment request can exist at a given time. If a new assessment request is placed on a third party with an open assessment request, the existing assessment request will automatically be canceled and replaced with the new assessment request.

If a new request is placed on a third party with a Delivered assessment request, the Delivered request will automatically be moved to a status of Archived (Customer still has access to data) and the new request will be in a Pending status.

Validation Request

An assessment request must always be placed to request validation

Assessment Share

Document Request/Share

If a new document request or share is created for a third party with an open document request or share, the existing document request or share will automatically be canceled and replaced with the new document request or share.

Once a document request or share is Approved, the customer will have access to all documents for the third party for 28 days. At that point, the status will automatically be set to Revoked and the customer will no longer have access to the documents.

Relationships Tab
The Relationships tab on the Third Party Portfolio displays one row for each third party of the customer. Customers can manage their third parties in their portfolio on this tab by adding a third party to their portfolio or archiving a third party relationship. It also provides a summary view of active requests/shares and customers can request data from third parties. The table is defaulted to filter to ‘Active’ relationships only.

Common Features

Search

Search for a third party by company name or domain (URL)

When clicked, the user will be navigated to the company search. A user has the option to select an existing company in the Exchange and add to their Third Party Portfolio or add a new company to the Exchange and add to their Third Party Portfolio. Once a company is added to the Third Party Portfolio, the customer will have the option to request data from the third party.

Columns

Enables the user to show or hide columns in the table

Filters
-
- Quick filters (chips at top of portfolio) provide easy filtering for the most common use cases. When selected, the 'Filters' are automatically populated.

The ‘Filters’ option in the table provides the ability to filter on one or many columns in the table. If a table has filters applied, a number indicator is present on the filter icon indicating the number of filters.

Individual columns can also be filtered by clicking on the ellipsis and selecting ‘Filter’ on the individual column header

Density

Changes the density of the row display on the table

Export

Downloads the Third Party Portfolio Requests/Shares table into Excel and includes only what the user can see. If the table is filtered, sorted, or columns are hidden, the export will reflect those changes and only show the number of rows shown on the page. It is not a download of the entire portfolio across pages.
